Overview
The AIM Center is seeking a highly collaborative and analytically minded Chief of Staff to partner closely with the CEO and Executive Team in advancing our Strategic Plan and strengthening organizational excellence. Position Summary
The Chief of Staff (CoS) is a highly strategic, analytic, and relationship-driven leader who serves as a critical partner to the Chief Executive Officer (CEO) in executing the AIM Center’s mission and advancing the organization’s Strategic Plan. This role supports high-level organizational initiatives, ensures alignment across departments, and strengthens the CEO’s ability to operate effectively and efficiently.

While this position provides some administrative and logistical support to the CEO, the Chief of Staff acts primarily as a strategic advisor, project manager, analyst, and integrator—helping translate vision into action, ensuring accountability, and facilitating smooth organizational operations. This role has no direct reports but collaborates closely with leaders across the organization.

Key Responsibilities
Strategic Planning & Execution:

  • Drive organizational alignment with the Strategic Plan by tracking progress and identifying barriers.
  • Facilitate cross-functional collaboration to advance strategic priorities.
  • Conduct research, data analysis, and environmental scans to support executive decision-making.
  • Develop dashboards, reports, and KPI tracking systems.

CEO Support & Executive Operations:

  • Serve as a thought partner to the CEO on priorities, planning, and opportunities.
  • Prepare draft reports, meeting agendas, and executive documents.
  • Provide targeted administrative support including calendar prioritization and briefing materials.
  • Draft communications, presentations, and reports as needed.
  • Take detailed meeting minutes.
  • Organize meetings, scheduling, materials, and logistics including catering when needed.
  • Maintain executive contact lists.
  • Organizational Leadership & Coordination
  • Improve internal communication systems and organizational workflow.
  • Identify operational gaps and recommend solutions.
  • Support Executive Team coordination and follow-through.
  • Represent the CEO in internal or community meetings when appropriate.

Generalist Duties

  • Support a safe, inclusive, and culturally responsive Clubhouse environment.
  • Advocate for member rights and meaningful participation.
  • Maintain fidelity to Clubhouse International Standards and AIM Center policies.
  • Encourage participation in employment programs (TE, SE, IE).
  • Serve as Transitional Employment Job Coach/Placement Manager as assigned.
  • Transport members as needed (training provided).
  • Participate in staff rotations, socials, employment dinners, holidays, and events.
  • Support social and recreational programming with members.
  • Participate in quality improvement and professional development.
  • Other duties as assigned.

Qualifications
Education & Experience

  • Bachelor’s degree required; Master’s preferred (Public Administration, Nonprofit Management, Business, or related field).
  • 5+ years of experience in nonprofit leadership, strategy, consulting, operations, or project management.
  • Experience with data-driven planning and organizational change management.
  • Must pass a background check.
  • Valid Tennessee driver’s license with ability to obtain F-Endorsement within 14 days.
  • Clean 3-year Motor Vehicle Record (no DUI/DWI).
  • Reliable transportation and proof of insurance.
  • First Aid & CPR certification (or willingness to obtain).
  • Completion of required Relias training modules.
