String Theory Operations Manager Job Description:
Part-time hourly- up to 25 hours a week depending on the calendar schedule.
The Operations Manager serves as the primary contact for all artists, partners, and vendors. This position requires a combination of remote work for daily tasks and on-site attendance at events to ensure that timelines and budgets are met, and that all events are executed effectively. The Operations Manager reports directly to the Artistic Director. Under the guidance of the Artistic Director, this role oversees all concert operations, educational events, and community engagement activities. The Operations Manager collaborates closely with the Artistic Director, Development Manager, and Communications Manager to achieve String Theory’s artistic and community engagementgoals.
The ideal candidate must be a strategic thinker who pays attention to detail, can manage multiple projects simultaneously, while having a gracious attitude towards artists, vendors, patrons, and volunteers. Anticipated Start Date: August 1, 2026
KEY RESPONSIBILITIES
Operations/Concerts
- Create and maintain all artist and vendor contracts for each season
- Coordinate with operations vendors, i.e., piano rental and technician, photographer, videographer, recording engineer, Hunter staff, stage and light etc.
- Oversee all concert setup including but not limited to: consulting artists’ contracts/riders, procuring all hospitality items, ensuring venue readiness, checking lights, stage management, backstage needs, front-of-house, etc.
- Work cooperatively with the staff of the concert venue (Hunter Museum) to ensure smooth concert logistics
- Supervise a small team of volunteers to manage the day-of box office needs, parking, and other day-of-show responsibilities
- Answer any operations questions and problem-solve as needed
- Oversee all front of house and backstage operations during the concert
Administrative
- Manage volunteers for concerts (including training) and hire assistance as needed
- Maintain paid accounts which are invoiced yearly: Canva, Dropbox, Vimeo, Google Workspace, Thundertix, and our website platform
- Assist with scheduling and executing preseason mailings for brochures and donor packets
Finances
- Process invoices for all vendors and artists for each concert
- Work with Development Manager and Lee University Accounting department to ensure all finances are in order, including creating budget transfers, budget revisions, and creating vouchers for invoices
- Track expenses and revenue each season
- Invoice sponsors and send pledge reminders as needed
- Assist in budget creation for future seasons
- Work with Development Manager to compile financial and other reports as needed for Board
- Meetings and grants
- Education/Community Outreach
- Oversee the planning and schedule for education/community outreach events and Annual Family Concert
- Coordinate instrument rentals and delivery logistics
- Act as representative of ST to the community
- Set up for and attend all events
- Organize volunteers for the week
- Make accommodation and travel arrangements, organize meals, including booking lunches/dinners with the board and patrons, etc.
- Follow up with all teachers and artists for post-event thank-you acknowledgements
Miscellaneous Tasks
- Coordinate travel arrangements and create itineraries for AD and guest artists
- Pick up and drop off guests at the airport
- Purchase and prepare hospitality items for artists (green room and lodging)
- Purchase and deliver gifts for artists
- Prepare reservations and meeting rooms for board meetings
- Reserve space for artist rehearsals and coordinate all logistics
REQUIREMENTS AND QUALIFICATIONS:
Education/Experience
- Bachelor’s Degree in the Performing Arts, Arts Administration, or equivalent experience in arts administration or event logistics
Essential Requirements
- Driver’s license and access to a vehicle is essential
- Ability to lift up to 40 pounds and be on one’s feet for extended periods of time
- Ability to work evenings and weekends, as needed
- Strong proficiency with Google Docs, as well as Microsoft Word and Excel

- Strong organization, communication (written and oral), and problem-solving skills with the ability to work in a fast-paced environment
- Approachable and works well with a wide variety of people, including artistic professionals and high-profile patrons
- Self-motivated and well-organized, with willingness to be flexible while managing multiple projects and meeting deadlines
- Highly collaborative individual with a positive and helpful attitude
Other Qualifications
- Knowledge of classical music and performances is a plus
- Working knowledge of Adobe InDesign (or Canva) and Google Workspace is desirable
JOB CONDITIONS
- This is a part-time position with an hourly salary based on experience.
- String Theory does not have a physical office; the Operations Manager will work from home but is required to attend meetings with various community and educational partners.
- The Operations Manager must be on-site for all String Theory performances, activities, and other community events.
- The Operations Manager can set their own schedule, which may not conform to a traditional part-time workweek, as work during evenings and weekends is expected.
- This role involves extensive office work. Most communication with others, including the Artistic Director, occurs remotely via email or telephone, as many of them are located in different cities or states across the country.
- The position requires the ability to sit and stand for extended periods, as well as physical and emotional stamina. The Operations Manager should be capable of moving quickly and carefully and must be able to lift up to 40 pounds occasionally.
