Job Description:

The Director of Operations and Finance is responsible for overseeing the financial and administrative operations of the organization including budget management, financial reporting, monitoring cash flow, developing and maintaining best practices and internal controls for company finances and operations, human resources functions, and computer and technical systems management. The Director of Operations and Finance reports to the Executive Director.

Responsibilities include: 

• In collaboration with Executive Director, oversee financial operations including execution of financial strategies and processes including annual operating budget, annual audits, and tax preparation.
• Develop Specific, Measurable, Achievable, Relevant, and Time-Based goals with the Executive Director for green|spaces staff, coordinate with the Director of Sustainable Events Programs and Events, and review them biannually with the staff and Executive Director.
• Serve as guiding management for oversight of office operations, policy development, and implementation.
• Manage the organization’s accounting procedures.
• Oversee management and maintenance of office space, equipment, computer technology, inventory, and supplies.
• Manage contract commitments and expenditures to ensure consistency with budgeting.
• Oversee payroll and employee benefits, including accrued vacation, health plan, insurance, transportation benefits, and other benefits as appropriate.
• Oversee employee recruitment and onboarding with new staff and Americorps members and ensure they are familiar with green|spaces’ culture and policies and provide necessary employment documentation.
• Provide support to green|spaces’ Board of Directors, including support to the Finance Committee and Board Treasurer.

• Coordinate with the Directors and Contractors of Build it Green and oversee obligations outlined in the organization’s contract with the Corps Network.
• Ensure staff are receiving professional development support and ongoing training.
• Provide mediation and conflict resolution for staff.
• Maintain the Little Green Light database and ensure staff are adequately trained in Little Green Light and are using it following policies and goals.
• Generate invoices and receipts and send annual giving receipts for donors.
• Negotiate and ensure compliance with grant contracts and MOUs.
• Assist Director of Development with grant writing.
• Manage the use of materials, equipment, and assets by staff or third parties and ensure equipment and assets are well-maintained and properly insured. This includes but is not limited to the organization’s van, trailers, race barriers, video projectors, inflatable projection screen, tables, chairs, and tools.
• Assist the Director of Development with building and maintaining relationships, especially with partner agencies and nonprofits.
• Manage search for new office space.
• Manage and maintain employee policies and procedures handbook.
• Ensure compliance with all required agencies, groups, and partners.

 

Essential Skills and Experience include the following: 

• Management experience supervising staff, managing budgets, and effectively handling multiple priorities and projects.
• Excellent written and verbal communication skills, both internal to the organization and with external partners.
• Ability to work independently, keep organized in a fast-paced environment, manage simultaneous tasks, and adjust strategy to changing demands.
• Strong understanding of accounting, office operations, and procedures – including human resources, payroll, bookkeeping, contract management, and compliance with federal, state, and local regulations and laws related to nonprofit organizations.
• Preferred proficiency in platforms including all Microsoft Applications (Excel, Word, PowerPoint), Monday, QuickBooks, Bill.Com, DropBox, and Little Green Light.
• Must be proficient in using Google Calendar.
• Demonstrate ability to work with financial management, budgeting, and administrative systems, annual audits, and other nonprofit financial processes and requirements.
• Ability to meet deadlines and to work independently and as part of a team.
• Demonstrate commitment to diversity within the office using a personal approach that values all individuals.
• Commitment to work collaboratively and respectfully toward resolving obstacles and conflicts.
• Attention to detail.
• Relevant advanced credentials, including MBA, CPA or commensurate experience preferred.
• Preferred proficiency in platforms including all Microsoft Applications (Excel, Word, PowerPoint), Monday, QuickBooks, Bill.Com, DropBox, and Little Green Light.
• Must be proficient in using Google Calendar.

Salary range: $65,000 – $80,000
