About the Position

We believe that by utilizing our organization’s resources to help businesses grow, together we can make Chattanooga the ultimate destination for entrepreneurship. This is why we host a series of networking, educational, and fundraising events designed to connect founders with the resources they need to bring their ventures to life. We are seeking a detail-oriented, data-driven, and highly collaborative individual to join CO.LAB as an Events Coordinator. The Events Coordinator will be responsible for planning and executing company events ranging from small, recurring functions to large-scale events and media gatherings. Reporting to the Director of Marketing & Development and working closely with the Marketing team, the incumbent will ultimately coordinate all aspects of on-site and off-site events & conferences including but not limited to communication, catering, space requirements and staffing facilities support. This is a full-time, on-site position.

Key Responsibilities

Develops and manages timelines, marketing materials, and executes all aspects of events, collaborating closely with the creative team. Plans comprehensive event logistics, including venue selection, budgeting, catering, audiovisual coordination, and creative elements. Manages attendee lists and maintains effective communication with attendees and sponsors regarding event details. Collaborates with the creative team to produce engaging marketing materials for company and partner events. Maintains a database of current attendee information. Assists with the development and administration of each event’s budget and ensures projects are completed on schedule and within budget. Employs industry standards and best practices. Assists with selection of outside venues and vendors that adhere to CO.LAB’s quality standards and negotiates contracts for on-site and off-site events. Direct multiple service contractors for small and large scale events. Communicates clearly and often with Director of Marketing & Development on all aspects of personnel, procedures, purchasing, strategy and other departmental concerns. Manages time responsibly, based on department priorities, organizational needs and event schedules. Orders, delivers and/or serves food and beverage for meetings and events. Stays abreast of conference, meeting and event trends, techniques and technologies, evaluates appropriateness for CO.LAB’s institutional priorities Hosts meetings to ensure seamless collaboration with event partners, sponsors, and speakers, providing detailed event outlines, agendas, and other necessary materials. Supports other duties as assigned / required

Qualifications and Experience

Live and work in the greater Chattanooga area, or willing to relocate 3+ years of event management/coordination experience

Bachelor’s Degree in Marketing, Hospitality, or related field preferred

Team player committed to CO.LAB’s vision, mission, values and goals and passionate about supporting startups, founders and scalable businesses

Excellent communication and interpersonal skills Must be detail-oriented

Coachable, team player, self-motivated

Ability to manage multiple projects/assignments concurrently

Ability to perform under pressure with tight deadlines

Physical Demands/Working Conditions

Typical professional office environment eligible for on-site work agreement

Ability to lift and move objects up to 40 pounds Sit at a desk for long periods of time

Stand and walk for extended periods of time

Willingness to travel locally

Ability to work irregular hours including evenings and weekends as needed

Ability to maintain a polished professional appearance

Salary/Hourly Wage: $40,000-$45,000 salary commensurate with experience
